Project planning checklist

A practical brief for evaluating a solution and agreeing a clear scope.

Start with an operational question
Describe what should improve: stock reconciliation, a movement checkpoint, an exit response, visual monitoring or door access. Record the current workflow and who owns it.
Bring representative conditions
For RFID: item materials, tag position, quantities and read zones. For cameras: lighting, coverage and recording needs. For access: doors, credentials, enrollment and alternative access.
Define acceptance before a pilot
Agree the test sample, expected events, missed/duplicate events, response time, exception handling and who signs off. Test edge cases and interruptions as well as the happy path.
Identify system responsibilities
List devices, software, interfaces, data fields and the party responsible for each. Confirm offline behavior, retries and reconciliation rather than assuming them.
Plan handover and support
Agree installation responsibilities, operator training, documentation, maintenance and support terms in the scope. A website inquiry is not a booking or a service-level commitment.

Devices & coverage
Number of read points, cameras or doors; tags, accessories, power, network and site conditions.
Software & integration
Licensing where applicable, interfaces, data mapping, configuration and validation.
Implementation & operation
Pilot work, installation, training, support, maintenance and consumables.
